Administration:
Once the software has been installed and configured for your web site and your sales approach, there is very little administration involved. All administrative functions take place through the sales administration page, salesadmin.htm.

Sign-Ups
As new affiliates sign up for banners, you will be notified by an email that contains the entire contents of the on-line form. You can store this information locally if you wish, but all of this information is available to you through your sales administration page as well. You will also receive an email if an affiliate updates their contact information; again, you may save this data, but you can always access it from your sales administration page.

On-Line Sales
If you take sales through an on-line form only, then you will have to "validate" these sales through your sales administration page; this is necessary because many times on-line forms are submitted in error, or with incomplete information, or with invalid credit card information. After you have actually processed your on-line order forms and have determined which were "good" sales and which were "bad", go to your sales administration page and hit the "Validate Sales" button. A list of each potential sale will be displayed, showing the customer's name, the amount of the sale, and the banner number that they clicked on (if any) before coming to your site. You simply check a box for "Approve" or "Remove" next to each sale, and then click the "Submit" button. All commissions and other data will be updated automatically. You can choose to ignore any sales on the list that you haven't processed yet, and you can validate them later.

Other Sales
If you take sales in any other way (over the phone, through email, direct mail, etc.) then your program will be configured to let you know any time a sale is made as a result of a banner click-thru, and then you use your sales administration page to add each "banner sale" to the database. If you take an order through email, for instance, and the email you receive from the customer indicates that he or she came from a banner ad, you simply go to your sales administration page, enter the affiliate number in the appropriate field and the amount of the sale (not the amount of the commission, the program will compute that value itself) in the "Add a Sale" field. Click the "Add" button, and the commission is added to the appropriate affiliate member's statistics. You will then be taken to a page showing the affiliate member's contact information and stats, along with a message telling you that "A commission of $x has been added." All second tier commissions will be computed and assigned automatically.

Paying Affiliates -- Sales Report
Each month, the software will send you an email letting you know it's time to run your sales report and send out commission checks. Simply go to your sales administration page and click either the "Run Full Sales Report" button or the "Run Limited Sales Report" button. The program will search through the entire affiliate database and print out a page showing any affiliates that are due checks, along with the check amount and the affiliate's home address; information on second tier commissions will also be included. If you run the "Full" report, ALL commissions will be computed, regardless of whether they have reached the low limit you specified during installation. If you run the "Limited" report, only commissions in excess of your low limit will be computed; the rest of the commissions will be rolled over to the next month. The report page is saved as:

and after you are automatically sent there by the program, you may need to hit "reload" on your browser to make sure you are not looking at a cached (old) copy. Every affiliate who is due a check will also be sent an email indicating the amount of the check.
IMPORTANT: You cannot "undo" a sales report; once you hit the button, all monthly sales data is computed, and emails are sent. If you hit the button in error, and the report indicates that there are affiliate members due checks, you will either have to email those members and tell them the email they received was an error, or you will have to process the checks.

Back-Up/Restore Files
If for any reason you would like to create a back-up of your affiliate database (before running a sales report or some other administrative task, for instance), simply click on the "BackUp" button on your sales administration page. A Backup database that is identical to your current affiliate database will be created. You may do this as often as you wish.
If, on the other hand, you accidentally delete an affiliate or make some other error, or your server crashes and you lose the database altogether, you can click on the "Restore" button, and the contents of your backup database (which was created the last time you hit the "BackUp" button) will be moved to your current affiliate directory, OVERWRITING whatever data is there. In other words, you should ONLY hit the "Restore" button if you have very recently backed up your files or in case of an emergency, because whatever data is currently in your affiliate database, including commission and contact information, will be lost forever.

Editing Email Text
To edit the text of the email that your affiliates recieve when signing up or recieving an invoice, click on the "Edit Text" button at the bottom of your sales administration page and follow the directions.

Emailing Your Affiliates
To email all of your affiliates, click the "Email All Affiliates" button on your sales administration page and follow the directions.

View Affiliate Info
To view the stats or contact information for a particular affiliate, go to your sales administration page, enter the affiliate's number, an then click on the "View or Edit" button.

Subtracting Sales
If for some reason you need to subtract a commission from an affiliate, go to your sales administration page, enter the affiliate's number, and the amount of the sale to be subtracted (not the commission, the program will compute that value itself) in the "Subtract a Sale" field. Then click the "Subtract" button. Any second tier commissions will also be subtracted automatically.

Changing Commission Rate
The program allows you to give a percentage commission for each sale or a flat rate commission. This value is entered in the config.txt file when your program is first installed. Should you choose to change the commission amount for a particular affiliate, go to your sales administration page, enter the affiliate number, hit the "View or Edit" button, and then put the new commission amount (percentage or dollar amount, do not include the $ or % symbol in the entry field, just the amount) in the "Commission Rate" field and hit the "Change" button.
The software does not allow you to change the commission structure for all existing affiliates at once; if you decide you want to change the commission amount for every affiliate, you must manually change it for every affiliate using the procedure outlined above.
If you decide you want to change from a flat rate to a percentage or vice versa, you must edit the config.txt file as well as changing the rate manually for every existing affiliate. Contact technical support at support@theaffiliateprogram.com if you need help doing this.

Changing Second Tier Commission Rate
The program assigns your second tier affiliates a percentage commission for each sale or a flat rate commission. This value is determined by you when your program is first installed. Should you choose to change the commission amount for a particular affiliate, go to your sales administration page, enter the affiliate number, hit the "View or Edit" button, and then put the new commission amount (percentage or dollar amount, do not include the $ or % symbol in the entry field, just the amount) in the "2nd Tier Commission Rate" field and hit the "Change" button.
The software does not allow you to change the commission structure for all existing affiliates at once; if you decide you want to change the commission amount for every affiliate, you must manually change it for every affiliate using the procedure outlined above.

Deleting Affiliates
Should you choose to delete a particular affiliate for whatever reason, go to your sales administration page, enter the affiliate number, hit the "View or Edit" button, and click the "Delete This Affiliate" button. Whatever banners that affiliate has will cease to function and all pending and/or approved commissions will be deleted.

Viewing All Affiliate Statistics
To view a table showing statistics for all affiliates, click on the "View Statistics for all Affiliates" link at the top of your sales administration page. The table displays the affiliate's number, banner impressions (number of times the banner has been displayed), click-thrus, sales, commissions, and then a variety of ratios that combine these statistics (Click-Thru %, for instance, is the number of click-thrus divided by the number of impressions).

Changing Program Settings
To change any of the default settings for your program, just click on the "Change Program Settings" button on your administration page. You will be forwarded to a form that displays your existing settings and allows you to change them.
